Business Challenges

 

Kotobuki’s first restaurant was opened in Jurong in 1981 and the company now boasts a eight restaurants across Singapore. Expanding from one location to a chain of restaurants is no easy feat; apart from resources and logistics, managing manpower can be a nightmare. Kotobuki firmly believes in the importance of well-trained employees and treating staff like an extended family to get the best out of each individual. So it was particularly problematic when the manual leave, payroll and clock in/out management systems Kotobuki had in place could no longer effectively meet their needs. It was difficult to monitor staff attendance across multiple restaurant locations resulting in disputes over clock in/clock out data. In addition, there wasn’t an efficient method of viewing employee schedules for shift rostering.

JustLogin Solutions

 

Kotobuki chose to implement a suite of JustLogin’s HR solutions to handle their employees’ rostering, leave, payroll and time tracking. The feature-rich JustPayroll, JustClock and JustLeave modules were seamlessly integrated and ready to use without the need for any servers to be installed or set up. iPads installed in each outlet enable real-time tracking of staff through the mobile JustPayroll application. Employees now view their own clocking history as well as leave allotments and pay slips on their mobile devices. “JustLogin’s HR solutions are highly configurable, so it was rather daunting at first,” said Ms Rachael Lam, Operations Manager. “There are many settings that can be tweaked to suit company policy – it’s a really powerful system.”

Implementation Results

 

Immediately after implementing the JustClock module, Kotobuki experienced an 80% drop in the number of disputes caused by incomplete clock-ins and clock-outs with the manual system. “JustClock’s iPad application makes it easy for our restaurant staff to clock in and out at all of our outlets across Singapore. We are also able to verify each clock in and out with a photo of the staff and his or her location, all from our centralized office in real-time,” said Ms Stella Goh, Kotobuki’s HR Officer. JustClock has also proved to be an effective tool in assigning shift rosters. Ms Goh states, “Our HR managers have an overview of the roster for easy assignment of manpower. Leave and pay matters, including overtime, are also automatically calculated by the system.”

Centralizing manpower management to the main office is a big step towards future-proofing Kotobuki’s HR systems for further expansion. “JustLogin is a one stop solution for all the HR functions we need.
