Your Policy Changed. Does Anyone Know?

September 18, 2026

The short answer: Updating a policy is the easy part. Making sure employees get the current answer and actually read the change is where most companies fail. With JustLogin’s Knowledge Hub, an updated document automatically updates the answers employees get from Justina, and acknowledgement tracking shows exactly who has read what. One version, probably read, no chasing.

HR teams can use HR software to keep company employment policies, employee handbooks, and employment agreements up to date while maintaining proper version control.

The update that didn’t land

HR revises the leave policy. The all-staff email goes out, new PDF attached, subject line in bold. Job done.

Three months later, an employee plans their leave around the old rule, the one in the version saved on their desktop since last year. They’re not being careless. As far as they know, that is the policy.

The policy has changed. The company’s knowledge wasn’t.

A reliable HR system helps employees understand policy changes, benefits, HR processes, and compliance requirements without having to search through multiple files and resources.

Why policy updates go stale

This happens in almost every company, for the same few reasons:

  • Old versions never die. Saved PDFs, forwarded emails, and printed copies in a drawer all keep every superseded version circulating as if it were current.

  • The FAQ still says what it said last year. Updating the policy and updating the FAQ are two separate tasks, and the second one gets forgotten.

  • Announcement isn’t absorption. An email being sent is not an email being read, let alone understood.

  • There’s no feedback loop. HR has no way of knowing who has seen the change and who’s still working off the old rule.

So HR keeps answering the same questions, not because the answers don’t exist, but because nobody trusts they’ve found the current one.

Version control allows the HR department to keep previous versions of every document, track the version number, and maintain accurate records for a comprehensive audit.

Update once, answer everywhere

The Knowledge Hub removes the gap between “the document” and “what employees are told” because the uploaded document is the knowledge base.

When HR updates a policy in the Knowledge Hub, the answers employees get from Justina update with it. Ask about medical leave today, and the answer comes from the document that’s in force today. There’s no separate FAQ to maintain, no version drift, no window where the old rule keeps answering after the new one has taken effect.

The old version doesn’t need a “please disregard” email. It simply stops being the answer.

Access controls help HR teams protect employee information, personnel files, payroll files, and other critical information through appropriate security measures and data protection practices.

“Did anyone actually read it?”

Current answers solve half the problem. The other half is the question HR dreads before every audit: did employees actually read the policy?

Acknowledgement tracking closes that loop. For critical documents, you can see exactly who has confirmed reading them and who hasn’t. Access controls layer on top, so the right people see the right policies and nothing they shouldn’t.

That changes compliance from hope to evidence. “We emailed it to everyone” becomes “here’s the list of employees who confirmed reading it, with dates.” One is a shrug; the other is an audit answer.

An employee handbook gives employees, managers, and direct reports a clear understanding of company policies, HR processes, benefits, mandatory training, and workplace practices.

What this looks like in practice

Walk one update through the system. HR revises the medical leave policy and uploads it to the Knowledge Hub. From that moment, Justina answers medical leave questions with the new rule. The acknowledgement report shows who has confirmed the change, so HR follows up only with the names still on the “not yet” list, instead of chasing the whole company down the corridor.

Compare that to the old cycle: email blast, hope, and an uncomfortable pause when the auditor asks how you know everyone saw it.

What HR stops doing

No FAQ maintenance. No “please disregard the previous version” emails. No printing acknowledgement forms or chasing signatures before an audit. Policy governance stops being a recurring task on someone’s to-do list and becomes something the system simply does.

HR teams can create opportunities for feedback through team meetings, performance reviews, and regular employee conversations to understand how policy changes affect the employment relationship.

Where JustLogin comes in

The Knowledge Hub is one home for your policies, handbooks, and HR documents, with auto-current answers through Justina, acknowledgement tracking, and access controls built in. It’s now rolling out across JustLogin customers.

Your policies will keep changing. That’s normal. What shouldn’t change is employees quietly following last year’s rules because the update never landed.

Update once. Answer everywhere. Know it’s been read.
