The Knowledge Paradox 

Picture this. It’s 10:15 on a Monday morning. A new hire asks HR a simple question: “Do I have flexible working hours?” The answer exists. Somewhere. 

It’s buried in a 30-page employee handbook. Uploaded months ago. Shared in an email, no one saved. Hidden in Section 3.1, paragraph (c). 

The information is available. But the answer isn’t. 

This is the knowledge paradox. Most organisations have plenty of information; spread across files, folders, tools, and people’s heads. But when someone needs a clear answer right now, that knowledge may as well not exist. 

Finding a document isn’t the same as finding an answer. A policy without its intent. A process without its exceptions. A rule without its history. And when you ask two different people, you get two different answers.

You ask your HR manager about a policy. Then you ask a department head the same question. Two different answers. Both sound reasonable. But they can’t both be right. Without a single source of truth, inconsistency creeps into decisions, processes, and communication. 

Without a proper knowledge management system, valuable institutional knowledge and tacit knowledge are lost during employee turnover and weak succession planning.

None of these scenarios are dramatic. That’s what makes them dangerous; small, daily inefficiencies that never quite become a crisis but quietly erode productivity across the organisation.
